PTA meeting minutes template (Word, free)
Last updated
This PTA meeting minutes template covers both kinds of meeting a parent-teacher association holds: the executive board meeting, where officers plan, and the general membership meeting, where members vote on the budget and on spending. It gives the treasurer's report and fundraising totals their own place, because those are the lines a PTA audit committee reads first, and it records which expenditures were approved and by what vote.
Download it as a Word file, copy the plain-text version, or read the filled-in example from a fictional elementary school PTA. It works equally well for a PTO or a home and school association.

Board meetings and general membership meetings
A PTA usually has two sets of minutes. The executive board meets monthly to plan and to prepare recommendations. The general membership meets a few times a year, and in most PTA bylaws only the general membership can adopt the budget, approve spending above a set limit, elect officers and change the bylaws. The board's minutes record its recommendations; the general meeting's minutes record the votes. If a decision is in the wrong set of minutes, it may not count under your bylaws.
For a general meeting, record the number of members present. Most bylaws set a quorum as a number of members, and if the quorum was not met, votes taken that evening may be challenged later.
What a PTA has to record
- The treasurer's report every meeting, with the balance, income and expenses since the last meeting, and that the report was filed for audit. Some associations have the membership vote to accept it; others only file it. Follow your bylaws.
- Every expenditure approved: the amount, the budget line, who moved and seconded and the vote. The audit committee checks each cheque against a minute.
- Fundraising results by event: gross receipts, costs and net. Read these back from the treasurer's figures, not from the chair's memory.
- Budget adoption and any amendment to the budget, with the vote.
- Elections: the nominees, the method of voting and the result. Nominating committee reports are usually minuted at the meeting before the election.
Common mistakes
- Minuting the principal's whole report. Record the headlines and any request to the PTA; the principal has their own channels for the rest.
- Recording approval of a spend at a board meeting when the bylaws reserve that amount for the general membership.
- Listing children by name. Write “the second-grade classes” rather than naming a student, and never minute a concern about a particular child or family.
- Noting who disagreed. Write “the membership discussed the proposal” and then the vote.
- Forgetting the count. “Approved” is not enough for money; write the vote.
State and national PTA expectations
PTAs chartered through a state or national body are generally asked to keep minutes of every board and general meeting, to have the treasurer's books audited or reviewed each year, and to keep the minutes with the association's permanent records. A PTO or independent parent group has no national body, but its bylaws and its tax-exempt status usually point to the same practice. Check your state PTA's handbook and your own bylaws for what they expect.
Handing over to next year's secretary
PTA officers change every year or two. Keep the minutes in one shared folder in date order, with the treasurer's reports and the adopted budget beside them, and give the folder to the incoming secretary at the handover meeting. A new board that can read last year's minutes finds the vendor, the spending limit and the date of the carnival without asking.

Tips for pta meeting minutes
- Write the treasurer's figures into the minutes as reported and attach the written report; the audit committee will compare the two.
- Give every spend its own motion with the amount and budget line. One motion that approves “the expenses discussed” cannot be audited.
- Count members at the door at a general meeting and write the number in the minutes before anything is voted on.
- Record fundraising as gross, costs and net. Net is what the membership budgets with.
- Keep student names out. Refer to grades, classrooms or programmes.
- Store the minutes, treasurer's reports and adopted budget together, and hand the whole folder to next year's secretary.

Or let the notes write themselves
A template helps when you’re the one typing. If you’d rather not be, an AI note taker can draft the summary and action items for you. Most send a bot into the call; QuietNote captures from your own computer instead, so nothing joins the meeting and you decide when capture starts. It’s in private beta. Whatever you use, read the draft before you send it, and tell attendees you’re recording where the rules require it.
Questions
Are PTA meeting minutes required?
For a PTA chartered through a state or national PTA body, yes: the bylaws almost always require minutes of board and general meetings, and the annual audit relies on them. A PTO or independent parent group is bound by its own bylaws and by whatever its tax-exempt status expects. In practice every group that handles money should keep them.
What is the difference between PTA and PTO minutes?
Nothing in the format. A PTA is affiliated with a state and national body and follows their bylaws; a PTO is independent and writes its own. Both record attendance, the treasurer's report, fundraising results, votes on spending and action items. The template on this page works for either; change the heading.
Does the PTA treasurer's report need to be approved?
It depends on your bylaws. Many associations do not vote to approve the treasurer's report, because the figures have not been audited; the minutes record that it was presented and filed for audit. Others vote to accept it. Either way, write the balances and totals into the minutes and attach the written report.
Who can see PTA meeting minutes?
Usually any member, and many PTAs post approved minutes on the school website or send them out with the newsletter. Write them with that in mind: no student names, no family details and no account of who argued. Draft minutes should go to the board for checking before they are published.
How long should PTA minutes be kept?
Most state PTA handbooks treat minutes as permanent records, along with the bylaws, the charter and the annual audit reports. Treasurer's reports and receipts are usually kept for a fixed number of years. Check your state PTA's records retention guidance or your own bylaws.
Can a PTA secretary use an AI note taker for the minutes?
It can help with a first draft of discussion and action items, especially for a long general meeting. The secretary still needs to confirm each motion's wording, the amounts and the vote counts, and the membership still approves the minutes. Tell the room if a meeting is being recorded, and check the school's rules on recording on its premises.
